Privacy Policy

We take your privacy seriously - here's the straight talk on how we handle your info

Last Updated: October 29, 2025

PIPEDA Compliant

We follow Canada's Personal Information Protection and Electronic Documents Act guidelines.

Introduction

Look, we get it - nobody actually enjoys reading privacy policies. But this stuff matters, so we've tried to keep it real and straightforward.

At Runeblade Odyssey Auto Repair, we're not just careful with your vehicle - we're equally careful with your personal information. This policy explains what we collect when you visit our shop or website, why we need it, and what we do (and don't do) with it.

We're based in Vancouver, BC, and we follow all Canadian privacy laws, including PIPEDA. If you've got questions or concerns, don't hesitate to reach out. We'd rather have a conversation than leave you wondering.

Information We Collect

When you book an appointment or drop off your car, we'll need the basics:

  • Your name (so we know who owns which BMW or Mercedes)
  • Phone number (to call when your ride's ready or if we find something unexpected)
  • Email address (for appointment confirmations and invoices)
  • Mailing address (billing purposes, warranty stuff)

Pretty standard stuff - nothing we wouldn't need to do our job properly.

We keep detailed records about your vehicle because European and luxury cars need specific care:

  • Make, model, year, and VIN
  • Current mileage (helps track service intervals)
  • Service history with us (what we've worked on, when, parts used)
  • Diagnostic codes and computer readouts
  • Photos of issues or completed work (when relevant)

This history helps us catch patterns, remember what's been done, and give you better service next time around.

We process payments but don't actually store full credit card numbers on our systems:

  • Payment processor handles the sensitive card data
  • We keep transaction records (amounts, dates, invoice numbers)
  • Tax documentation as required by CRA
  • Payment preferences if you've set them up

Your financial data goes through secure, PCI-compliant systems - not our shop computers.

Like most websites, ours collects some technical info automatically:

  • IP address and general location (city-level, not your exact address)
  • Browser type and device info
  • Pages you visit and how long you stay
  • Referring websites (how you found us)

This helps us fix broken links, improve the site, and see what info people actually find useful.

How We Use Your Information

We're not in the business of collecting data for the sake of it. Here's what we actually do with your info:

Service Delivery

Booking appointments, performing repairs, ordering parts, communicating about your vehicle's status, and sending you home with a properly fixed car.

Billing & Records

Processing payments, generating invoices, maintaining service records for warranty purposes, and keeping everything straight for tax season.

Maintenance Reminders

Sending helpful reminders when you're due for service (oil changes, inspections, etc.) - only if you've opted in. We won't spam you.

Improving Service

Analyzing patterns to stock the right parts, train our techs on common issues, and generally get better at what we do.

Marketing Communications: We'll only send promotional emails or special offers if you've specifically said it's okay. There's always an unsubscribe link, and we won't take it personally if you opt out.

Who We Share Data With

We're not selling your info to random companies. Here's the complete list of who might see your data:

Who Why What They Get
Parts Suppliers Ordering correct parts for your specific vehicle Vehicle make/model, VIN, part requirements
Payment Processors Processing your credit card or debit transactions Payment details (handled by them, not us)
Diagnostic Systems Running computer diagnostics on European vehicles VIN, diagnostic codes, technical data
Insurance Companies When you're making a claim for repairs Repair estimates, photos, work performed
Legal Requirements If required by law or court order Whatever's legally required

We don't: Sell your data to marketers, share your info with unrelated businesses, or give out your contact details without permission.

Cookies & Tracking Technologies

Yeah, we use cookies - but not the kind with chocolate chips. These are tiny files that help our website work better.

Essential Cookies

These make the website actually function - things like remembering items in your booking cart or keeping you logged in. We can't really turn these off without breaking stuff.

Analytics Cookies

Help us understand which pages people visit, where they get stuck, and what we need to fix. It's all anonymous - we can't identify individual visitors.

Preference Cookies

Remember your settings and preferences so you don't have to tell us the same stuff every time you visit.

Most browsers let you control cookies through their settings. Just know that blocking some cookies might make parts of our site not work properly.

How We Protect Your Data

We take security seriously - probably as seriously as we take diagnosing a check engine light on a BMW M5.

Encrypted Storage

Your data's encrypted both when it's stored and when it's being transmitted. Industry-standard stuff.

Limited Access

Only staff who actually need your info to do their job can access it. Not everyone has the keys.

Secure Systems

Regular security updates, firewalls, backups - all the boring but necessary technical stuff.

Real Talk: No system is 100% bulletproof. We do our best, use industry best practices, and stay current with security measures - but we can't guarantee absolute security. If there's ever a breach that affects you, we'll let you know ASAP.

Your Rights & Choices

Under Canadian privacy law, you've got several rights when it comes to your personal data. Here's what you can do:

Want to see what we've got on file about you? Just ask. We'll provide a copy of your personal information within a reasonable timeframe (usually within 30 days).

Send us an email at service@runebladeodyssey.info with "Data Access Request" in the subject line.

If we've got something wrong - wrong phone number, outdated address, whatever - let us know and we'll fix it.

You can update most contact info yourself by calling the shop, or send us the corrections via email.

You can request that we delete your personal information. We'll honor that request except where we're legally required to keep records (like tax documents or warranty information).

Keep in mind that deleting your data means we won't have your service history anymore, which could affect future repairs or warranty claims.

Don't want promotional emails or service reminders? No problem. Click unsubscribe on any email, or let us know directly.

You'll still get essential communications about active service appointments or invoices - we kinda need to be able to reach you about those.
